Smart Rounds is a maintenance-logging app used by staff at a work site to record routine equipment readings (fuel levels, water and wastewater figures, and similar operational checks). This policy explains what the app collects, why, and how it is handled. Craftly Apps ("we", "us") is a sole trader based in Australia and is the data controller for Smart Rounds.

Information we collect

Smart Rounds collects only what it needs to run the maintenance log:

Your name — displayed against the rounds you record so a site manager knows who logged each reading.
Account credentials — the password your manager sets for you, stored so you can sign in. A manager account also stores an email address, used only for password resets and site alerts.
Maintenance readings you enter — equipment and utility figures (e.g. fuel dip levels, tank percentages, meter readings) and any free-text notes you add to a round. This is operational data about equipment, not about you.
Basic technical data — the app version and a login session token, kept so the app can sync and keep you signed in.

Smart Rounds does not collect your location, contacts, photos, microphone, advertising identifiers, or any browsing activity, and it contains no third-party advertising or analytics trackers.

How we use it

To record and display maintenance rounds and show recent history for reference.
To sign you in and keep your session active, including offline.
To send in-app and push notifications — for example a reminder when it is your day to do rounds, an available-update notice, or an alert when a reading crosses a threshold the site has configured.
To let a site manager review figures and receive alerts by email or push.

We do not sell your information, and we do not use it for advertising or profiling.

How data is stored and shared

Your data is stored in a secured database hosted by our infrastructure provider (Railway) and is transmitted over encrypted HTTPS connections. Account passwords are held in encrypted form.

We share data only with service providers that make the app work:

Railway — application and database hosting.
Resend — sends transactional emails (password resets, alerts).
Stripe — processes the site's subscription payment. This applies only to the manager who sets up billing; crew members never enter payment details, and we never see or store full card numbers (Stripe handles them directly).

We may disclose information if required by law. We do not transfer your data to any other third party.

Retention and deletion

Maintenance records are retained while the site's account is active, as they form the site's operational history. If your user account is removed by a manager, your personal login details are deleted.

You can request deletion of your personal data, or a copy of it, at any time by emailing us at the address below. We will action verified requests within 30 days. Note that a site manager controls the maintenance records for their site and may need to be involved where records are shared operational data.

Children

Smart Rounds is a workplace tool intended for adult staff. It is not directed at children and we do not knowingly collect data from anyone under 16.

Changes to this policy

If we change this policy we will update the date at the top of this page. Continued use of the app after a change means you accept the updated policy.
